The role

Position objectives

  • Contribute to excellent client relationships across a portfolio of accounts
  • Ensure efficient and accurate campaign delivery
  • Undertake administrative duties to support the management and delivery of campaigns and reporting.
  • Contribute to creative campaign ideas and new business pitches.
  • Manage client billings and drive profitability

Deliverables

Contribute to excellent client relationships across a portfolio of accounts:

  • Build a good understanding of each client’s proposition, business goals and challenges, their competitors, the environment in which they operate and their audiences
  • Assist in driving the wider AKA team to deliver outstanding client service by anticipating, recognising and meeting client needs and provide the best value for money in terms of cost/advice
  • Promote positive communication between client and agency by organising and hosting regular meetings, status catch ups, shared documents, and workflow management tools as required on each account
  • Develops and maintains an excellent rapport with clients through all forms of communication and ensure the agency receives written approvals where appropriate.
  • Acts as an ambassador for AKA within the industry by building relationships with key contacts and suppliers and by attending trade and press nights and events when required.
  • Work with the wider AKA team to ensure the correct delivery of campaigns, supporting the Account Manager and Director on your accounts where relevant.
  • Ensure all elements of the campaign are accurate at all times and shared with the client as necessary.
  • Ensure clients are aware of booking deadlines and obtain confirmation to book or release proposed activity according to those deadlines.
  • Facilitate the timely supply of artwork and proofs between client and AKA team as necessary.
  • Brief in and manage artwork creation and delivery via AKA Creative Services.
  • Manage tagging processes to ensure all campaigns are correctly tracked, and ensure reports / dashboards etc are correctly set up before campaigns start.
  • Develops and maintains excellent relations with internal agency departments.

Ensure efficient and accurate campaign delivery:

Undertake administrative duties to support the management and delivery of campaigns and reporting:

  • Support the Account Team in the control of jobs through the agency on a day to day basis
    • Creating the necessary documents including schedules, agendas, studio and digital job sheets.
    • Attending meetings and generating meeting notes and status reports. Highlights required action points to the relevant people in order to ensure adherence to timelines.
    • Creates briefs with the Account Team and traffics artwork through the studio and with the client within agreed deadlines.
    • Researches, negotiates and gets client sign off on costs.
  • Where required, actively contributes to meetings attended, both internally and externally, with support from the Account Manager where necessary.
  • Produces campaign results analysis as required.
  • Establishes a basic understanding for Box Office and Sales Reporting for both internal and client presentation.
  • Use in-house agency software (training provided).
  • Builds and maintains a thorough record of all work in the show folder on the internal server system, including all artwork, scans and reports.
  • Supports the day to day delivery of client service by:
    • Ensuring their tasks are completed within allocated timescales.
    • Taking responsibility for ensuring that there is a continuity of work and that it is of a high standard before obtaining client sign off in writing.
    • Having an understanding of clients, competitors and the general marketplace.
    • Producing regular status and contact reports within required timelines.
    • Take a proactive role in sourcing and delivery of client and industry gifts.

Contribute to creative campaign ideas and new business pitches:

  • Assist Account Manager or Account Director with media plans and proposals for new business pitches, as required.
  • Translate briefs into action, monitor progress throughout the agency, and ensure delivery of desired results.

Manage client billings and drive profitability:

  • Contribute to budget management and the financial goals of the company.
  • Where required obtain quotations from suppliers and record costs.
  • Raise Purchase Orders and work with the Account Team / Finance Department to raise and sign off client invoices.
  • Add line items to the project budget where required

Requirements

Minimum qualifications

Skills/experience: Transferable skills from previous jobs and/or education.

Technology: Knowledge of and proficiency in MS Word, Excel, PowerPoint, Outlook, Google Analytics and confident in the adoption of new software and reporting systems.

Person specification

  • 1 year of experience working in a similar role with transferable skills.
  • Experience of working in an advertising, media or marketing agency and or marketing department.
  • Familiarity with key advertising formats and associated terminology including Social & Content Marketing platforms (google, social media, and native advertising), Digital Display, and traditional channels such as newsprint and Out of Home.
  • Excellent all-round communicator with highly developed interpersonal and organisational skills.
  • The ability to solve problems, make decisions and resolve issues quickly and effectively.
  • Experience of working in a team.
  • An understanding of the industry and a passion for theatre, museums, galleries or live entertainment.
  • Strong administration skills with the ability to prioritise and organise workload in a fast moving environment with reliable follow through.
  • Ability to work independently, take responsibility and show initiative.
  • A ‘can do’ attitude, willing to go the extra mile with confidence and a professional outlook.
  • Work well under pressure.
