We have just moved to a larger office due to the significant growth. Our new collaborative and vibrant workspace needs a passionate and proactive Office Assistant to work with our Office Manager & People Coordinator to help ensure we provide a place where everyone wants to work.

We are initially looking to bring someone on a 2 months contract with a view to potentially stay longer.

We are looking for someone who is interested in the Content Creator industry and has a genuine interest in Social Media. This role is an entry level role.

Responsibilities

Office management:

  • Warmly greet guests and clients, making them feel welcome.
  • Notify team members promptly of visitor arrivals.
  • Manage incoming reception calls with a friendly and professional demeanour.
  • Sort and distribute office mail efficiently.
  • Maintain a clean and organised office space.
  • Coordinate with maintenance and service providers as required.
  • Provide regular reports on office usage.
  • Encourage and support workspace tidiness.
  • Manage meeting rooms, ensuring proper booking and utilisation.
  • Ensure meeting rooms are kept clean and organised

Office resources:

  • Keep office stocked with snacks and drinks
  • Regularly replenish stationary and other office supplies (sanitary and personal hygiene products)
  • Order lunch for meetings as necessary.
  • Helping to set up our space for all staff meetings or events

Team support: 

  • Assist in organising staff birthday celebrations and gifting.
  • Provide ad hoc support for gifting to influencers.
  • Handle staff and client gifts/cards, especially during festive seasons.
  • Assist with organising team events such as Christmas & Summer Parties
  • Actively participate in organising agency parties and events.
  • Assist with hotel and travel bookings.

Club management:

  • Greet and check-in creators at our club.
  • Serve as the primary point of contact for creators.
  • Monitor creator bookings and assist in organising club events

Skills and attributes

  • Demonstrate an active interest in social media and a passion for helping to create the ultimate place to work
  • Have some experience in a similar role or be able to demonstrate that you have transferable skills
  • Ability to manage a cross-section of different stakeholders - Founders, department heads, visitors etc
  • Excellent communication and interpersonal skills (you’ll be interacting with people most of the time)
  • Ability to multitask and prioritise
  • Proactive approach and problem solver - and in get your hands dirty if needed
  • Google Suite experience would be great
