The Buying Admin Assistant reports into the Buyer for a particular category and they are responsible for the administrative duties of the department. This includes sample management, critical path, supplier communication, meeting preparation, and systems admin.

Responsibilities

  • Support the development of our amazing product working closely with internal teams and suppliers
  • Notify suppliers when development BOM’s are created on PLM and ready to sample
  • Manage the department Critical Path to ensure deliveries are on time through weekly team meetings and supplier calls
  • Ensure development packs and samples meet deadlines
  • Communicate lap dip, trim and bulk are approvals to suppliers in line with the critical path and flag any concerns
  • Organise and file the department lab dip and bulk approvals
  • Follow the fit process and raise when changes may result in delayed deliveries
  • Communicate delays in a timely manner and offer solutions
  • Support the Assistant to set up order confirmation documents
  • Work closely with the Assistant to set up the production BOM’s
  • Internal management and preparation of samples for meetings
  • Work closely with Tech and suppliers to ensure Photo, TOP, Press samples are ordered and sent in time for shoot
  • Keep PLM up to date and accurate at all times
  • Build and maintain strong relationships with all cross functional teams
  • Work at pace and ensure deadlines are met
  • Manage your own workload and priorities, raise in advance if deadlines cannot be met
  • Ensure decisions are made quickly and speak up if something goes wrong
