The Research and Knowledge Exchange Officer will provide efficient and effective administrative support to the day-to-day running of the Research Programme and Strategy at the Imperial War Museums Institute (IWMI).

The role

As a front-line member of staff reporting to the Research and Knowledge Exchange Manager, they will be expected to deal with a wide range of duties from preparation of budgets for grant applications to delivering research-focused events, and demonstrate a positive approach to problem-solving, excellent organisational skills, the ability to manage a varied workload. The role will be embedded in the Collections Access and Research team, which is part of the IWM Institute for the Public Understanding of War and Conflict, IWM’s research and knowledge exchange hub. It will contribute to delivering the museum Research programme and to expand its academic networks and partnerships.

Research and Knowledge Exchange Administration

  • Provide financial and project management support to the Research and Knowledge Exchange Manager including drafting budget and calculating costings for submission of grant applications and reports.
  • Support the Head of Collections Access and Research and the Research and Knowledge Exchange Manager in the capturing and maintaining of essential data and evidence to report and demonstrate the impact of research outcomes and outputs at IWM.
  • Support the Research and Knowledge Exchange Manager in the development and implementation of procedures and protocols to manage and co-ordinate all research activities at IWM.
  • Support the Research and Knowledge Exchange Manager in the up-to-date maintenance of information and records relating to grant applications and projects.
  • Support the Research and Knowledge Exchange manager in the management of the CDP students, ensuring they are supported, and any concerns are addressed and escalated as appropriate.
  • Develop and maintain positive working relationships with IWM staff and departments and work collaboratively at all times.
  • Demonstrate a professional and proactive approach to work at all times, to ensure relationships with academic partners are positive.
  • Undertake any other administrative tasks and responsibilities as requested by the Head of Collections Access and Research.
  • Support the Trust Manager, Academic and Statutory in the preparation of budgets and programme information for funding bids.

Communications and Events

  • Co-ordinate content development for the Research and Academic Partnerships webpages ensuring content is engaging, accurate, and relevant.
  • Draft content for newsletters and other communication tools and channels, internal and external, that enhance visibility of IWM’s research programme.
  • Oversee the maintenance and updating of the Research and Academic partnerships mailing lists.
  • Provide support in the organisation and delivery of internal training research training for IWM staff.
  • Provide support in the organisation and delivery of research-focussed events, including seminars, workshops, and conferences.

General Administration

  • Act as secretary to the IWM Institute Governance Board and to the Research Centre and Services Programme Board. Draft agendas, take minutes and ensure these and meeting papers are circulated on time before meetings.
  • Be responsible for arranging meetings, including room configuration, IT and set up, liaising closely with internal and external stakeholders, academics, and external organisations as appropriate.
  • Contribute to the management of the Research and Academic Partnerships budget, raising purchase orders, managing CDP students’ expenses, and processing invoices.
