Contract Summary

Frieze is seeking a VIP assistant to support the Head of VIP and the VIP team with VIP enquiries, key cultivation initiatives and offer general department administration. 

Duties & Responsibilities

  •  Client-facing role at Frieze VIP desks, answering VIP enquiries. 
  • Responding to VIP, exhibitor and membership email and telephone questions. This includes troubleshooting digital pass issues, membership payment issues, answering requests for invites and assisting with access to VIP benefits.
  • Approving gallery and museum VIP invite nominations and creating invitations on CRM system.
  • Training fair temp staff during the fairs and managing teams of VIP temp staff to ensure smooth running of VIP desks and customer service.
  • Maintaining content on the VIP membership portal.
  • Assisting in CRM data maintenance and producing excel lists from CRM system reports.
  • General ad hoc assistance to the whole VIP team. 

Knowledge and Experience

  • Proven experience in project delivery.
  • Administrative support experience.

Desirable

  • Experience with CRM systems.

Skills and Abilities 

  • Very organised.
  • Strong interpersonal skills.
  • Utmost discretion and confidentiality.
  • Strong writing skills.
  • High attention to detail.
  • Confidence in using Microsoft software, including strong Excel skills and ability to use common Excel formulas including VLOOKUP.

Working Conditions

  • This is a permanent/fixed term position.
  • This role will be based at The Strand/ Surrey Street, London.
  • Working hours are 10.00-18.00, Monday to Friday
  • Occasional travel and weekend work may be required
