    Summary of role

    The heartbeat of FT Live is our strong portfolio of event products and our ability to access, convene and engage the highest quality delegates and speakers. The Event Project Assistant will work within the Partner Events team, this team is dedicated to creating and delivering high level bespoke events for clients. The role will involve assisting on project managing partnership campaigns and working closely with the Project Managers.

    Past experience of working in a Project Manager role is preferable but not essential. This position is responsible for helping the team deliver premium customer service to a client from brief to debrief, keeping the project to time is vital, and relies on effective project management of internal teams. The role requires an ability to organise and keep a project to time, attention to detail is key. The focus is on helping the teams delivering results and contracted KPIs for an event and keeping the client fully informed at all times.

    The role will report into the Senior Project Manager and offer the chance to assist on bigger projects with administrative project work, event reporting and analysis. An eagerness to learn and natural use of initiative is desired to succeed in this role. The Event Project Assistant will be expected to assist on projects where dealing with clients is key, so a strong account management and client liaison focus is required.

    Outcomes

    Success in this role will be defined by the ability to help build and maintain strong, long-lasting customer relationships, the Event Project Assistant will learn how to deliver reporting, create project schedules, support in team administrations and ensure that the event deliverables are executed on time. Ability to spot problems before they occur and open communication is key.

    Main duties and responsibilities

    Reporting into the Senior Project manager, you will initially shadow on projects from the client brief, onboarding the client, to running the project you will be expected to show initiative and eagerness to learn and eventually to run smaller projects autonomously.

    Tasks will include creating a detailed timeline for use on each project, taking into account internal process times and knowledge gathered from other internal teams. You will be responsible for helping bring the project teams together and ensuring that the client is kept regularly informed on project status. This work will include:

    • Assist the project management team in producing 360 project timelines and completing project set up tasks
    • Meeting with internal stakeholders to help take detailed briefs on the project before the client is onboarded
    • Support project managers in meeting with clients to understand their objectives & set KPIs. Organise, coordinate and follow-up on actions agreed on with clients
    • Respond to client requests / queries as and when required
    • Monitor and analysis event performance against project KPIs and successful completion of short and long-term goals. Carried out through the maintenance of weekly project reporting and communicating results to the project team and client
    • Assist with data & telesales briefing
    • Help to create and maintain comprehensive project documentation. Managing admin across the projects, budgeting, creating booklets or presentations, compiling weekly and post event reporting - including evaluating successes and challenges to enhance learning for future projects
    • Identifying and monitoring competitor events and alternative ways the marketplace will accumulate information, market research, and commercial relationships
    • Attend conferences and training as required to maintain proficiency.

    Person specification

    • 6 months+ of B2B account or project management experience (particularly in events) is desirable
    • Proven experience of providing administrative support
    • Ability to work simultaneously across multiple tasks and projects
    • Ability to work independently and take the initiative, as well as closely with colleagues and under direction
    • A flexible, adaptable and organised approach to work, exercising initiative and working independently as appropriate. Strong organisation and time-management skills
    • A high degree of accuracy in work practices and ability to cope well under pressure
