The Operations Analyst works in the Analyst Hub, initially covering operational platforms in Austria, Germany, Netherlands, UK and Ireland, with potential to include Spain and France in the future.

The role supports the delivery of asset business plan targets and the execution of strategies for achieving operational excellence by generating and analysing reports on property management performance.

Gathers and analyses market, client and portfolio data, providing management with data and input to identify opportunities for improving NOI/other aspects of commercial performance, and customer satisfaction. Performing other analytical tasks that support the operation of the business.

Key role responsibilities

  • Supports the Director, Operational Performance & Analysis building the new Analyst Hub, including: scalable processes, controls, and tools (e.g templates, reports).
  • Mentors (and may lead) more junior team members (e.g graduates). 
  • Supports the delivery of the Hub’s reporting requirements in line with internal routines (e.g weekly reporting) and external (investor, client etc) needs, including the delivery of the leasing reporting process; to track and analyse leasing and occupancy performance and trends and highlight opportunities for rental growth or corrective marketing activity.
  • Provides support and assistance to the property/regional managers, Operations Directors, Asset Management and Client Services teams, key business leaders and others by fielding questions and requests, gathering data and reports and assisting in resolving issues related to operational policies and performance.
  • Works with other functions (Digital/Performance, Asset Marketing and Brand/Insights) to track key performance indicators, provide regular and consistent reporting to the business and act as a conduit between the insights/analysis gathered by other departments and operational execution.
  • Assists in the gathering and analysis of financial, market, and other data to evaluate overall performance of the assigned portfolios versus budgets, targets and client expectations, preparing summaries, reports, recommendations and other interpretive reports to support business decisions.
  • Participates in project teams to implement process improvements, new applications and programs targeted to improve operational performance.
  • Supports an effective relationship between the Hub and the IT/Systems team, supporting the effective provision of data (from the Systems Team’s Data Lake).
  • Supports requirements gathering for systems projects when required, as well as testing, and on-going (systems) optimisation.
  • Assists with the reporting of customer satisfaction metrics using business tools.
  • Assists with the tracking of competitor pricing and performance and collates market data for the business.
  • Assists in the maintenance of operational KPI databases used to gather and report on performance.
  • Supports annual rent and budget setting processes, new acquisition due diligence and such other reports, analyses and tasks as necessary.
  • Works with other Hub team members to identify opportunities for improvements in systems and tools used to understand, monitor and track performance.
  • Inputs into new acquisitions (due diligence and operational data for underwriting).

Role scope

  • This role will report to the Director, Operational Performance & Analysis.
  • This role acts as the first point of contact for operational performance data/metrics and requests for data and analysis across Austria, Germany, Netherlands, UK and Ireland.
  • The role will be a contributor to the weekly/monthly/quarterly operational reporting covering leasing, revenue, expenditure, customer satisfaction and other areas.
  • This role will require visits to properties or external meeting locations. And be prepared to travel occasionally within Europe.
  • The role will utilise our core business systems including property management systems, financial systems and office programs.

Key relationships

  • The role will interact with property/Regional Operations Managers, Operations Directors, Asset Management, Client Services, Digital/Performance, Asset Marketing and Brand/Insights teams.  And other colleagues in Property Operations Management, IT/Systems, Investment and Development, HR, Accounting and Finance, Facilities/Maintenance, as well as senior management.
  • This role will have some interface with external suppliers and investors.

Knowledge and qualifications

  • Educated to degree level (at least 2:1) or equivalent ideally in a relevant subject such as finance, mathematics, economics, engineering or business studies, where analytical skills have been studied to an advanced level.
  • IT literate and proficient with general office Microsoft packages to an intermediate level in Powerpoint and advanced Excel.
  • Knowledge of Power BI or other analytical tools and ideally an understanding of VBA or SQL.

Experience and skills

Essential

  • Experience in research gathering, analysis, reporting and presentation of business specific data, preferably in a related sector.
  • A doer, able to build tools/templates and processes to improve efficiency.
  • Highly numerate, with strong quantitative and qualitative analytical skills and attention to detail.
  • Experience working with large data sets and manipulating data in Excel.
  • Strong written communication skills including the ability to prepare commercial standard business correspondence, reports, documents and business proposals.
  • Excellent organisation skills, including the ability to prioritise workload and show good judgment under pressure.
  • Application of an investigator and commercial mindset with a desire to understand the bigger picture and contribute to understanding and solving challenges.
  • Detailed and accurate.
  • Service oriented.
  • Proven ability to work effectively both independently and in a team-based environment.
  • Demonstrated willingness to be flexible and adaptable to changing priorities.
  • An interest in business, Real Estate, geopolitical dynamics and current affairs; and able to apply that knowledge to the business/their role.
  • Experience of presenting data and analysis.

Desirable

  • Experience working with property management software/databases.
  • Experience designing and delivering reporting for operational businesses.
  • Experience presenting to senior leaders.
  • Fluent in English, as well as either Dutch or German. Spanish and French also of interest. Multi-lingual capability is a definite plus.
  • Experience of leading or mentoring.
