We are looking for a confident, motivated, and ambitious individual to join our contract management team based in Birmingham as a coordinator. You will be maintaining and delivering high quality, comprehensive and professional support, including administration and coordination to the utilities invoicing function.

Key tasks

  • To develop and maintain communication with providers and all other stakeholders, in a highly professional manner.
  • Acting as the first point of contract for utilities related queries. Dealing with asset managers and partners with courtesy and efficiency.
  • To be the key contact for Asset Management Coordination team and providers in relation to invoice queries.
  • Operate the TRAMPS and Dwellant systems as well as other IT packages daily to record, receipt, validate and mark invoices as payable.
  • To process all invoices received in the utilities team on a weekly basis ensure payment to providers is in accordance with the client KPIs and SLAs.
  • Checking and processing invoices ensuring all relevant data is accurate and escalating to providers where it is not. Ensuring that the charge rate is from meter readings.
  • To liaise with representatives from Client Accounts to meet deadlines and ensure system protocols are maintained.
  • Run weekly and adhoc reports from the Dwellant and TRAMPS systems for team and stakeholders to support accurate invoicing PERSON SPECIFICATION Essential Skills

What will it take to be successful?

If you are enthusiastic individual who has willingness to tackle a variety of tasks, this role is for you. You must have strong time management and prioritisation skills. Previous experience of reconciling and resolving invoices ready for payment would be extremely advantageous. As a strong team player, you need the ability to work in a busy environment, comfortable with multi-tasking, communicating directly with internal stakeholders and working under pressure to meet deadlines. You will be an excellent communicator with the ability to manage and build strong relationships, as well as having the confidence to use your initiative and manage your workload effectively.

As a key team member, you will demonstrate confidentiality while providing a professional service, and demonstrating the desire to broaden your knowledge base and experience. It is also important you have strong Microsoft Excel skills, a long with experience of using other Microsoft Office programmes.
