    Role purpose

    Reporting to the Senior Talent Acquisition Manager, the Talent Acquisition Administrator role is responsible for providing recruitment and administration support across the Talent Acquisition and Early Talent teams to help operational and project delivery.

    The Talent Acquisition team is responsible for end-to end global recruitment processes for all hiring activity for our Experience hires across the Firm. This role will work closely with the Talent Acquisition Manager and Senior Talent Acquisition Advisor to support the recruitment of our Fee Earner and Business Services populations. We aim to achieve a professional, positive and seamless candidate experience, from application through to the first day at the Firm.

    The Early Talent team looks to attract and retain strong junior talent across all offices and practice areas. We annually recruit a cohort of around 32 trainees and apprentices in the UK and internationally. The role holder will work closely with the Senior Early Talent Manager and Early Talent Advisor to support the recruitment of our trainee and apprentice cohorts.

    This is a part-time (job share) position working 3 days per week (Wednesday to Friday).

    Responsibilities

    General:

    • Act as the key contact for external candidate queries, taking ownership of the Recruitment and Early Talent email inboxes and responding to queries in a timely manner;
    • Maintain an overall awareness of all recruitment activity throughout the firm, providing support to the Talent Acquisition and Early Talent teams across all key processes;
    • Collate and prepare presentation slides for monthly team meetings;
    • Support the Early Talent and Talent Acquisition teams to maintain an active social media presence across LinkedIn, Instagram and TikTok;
    • Process invoices and expenses, ensuring they are correctly coded and sent to Finance within the required timescales;
    • Any additional ad-hoc duties to support the wider Talent Acquisition team on key initiatives and projects;
    • Comply with all relevant legal and regulatory obligations including the Solicitors Regulation Authority (SRA) Standards and Regulations, and Principles.

    Experienced hires:

    • Formatting of job descriptions to ensure that they are in-line with Firm messaging and branding;
    • Creating new vacancies on the recruitment portal (Reach), the Firm’s intranet, LinkedIn and any other advertising platforms;
    • CV screening and shortlisting of candidates, including conducting telephone screening calls when required;
    • Liaise with various stakeholders, including hiring managers, agencies and directly with candidates, to schedule and book in interviews;
    • Ownership of the interview activity throughout the firm, including management of the recruitment calendar and ensuring that interviews are set-up to the required standard, either in person or online;
    • Drafting offer letters;
    • Help to maintain the recruitment database and the recruitment inbox, dealing with and responding to queries as required;

    Early talent:

    • Coordinate Early Careers events, (both virtually and in person) such as law fairs, open days and trainee networking events. Participation in these events may be required from time to time, ensuring that Firm’s message is delivered in a professional and friendly manner;
    • Progress candidates through the recruitment process, ensuring a seamless candidate experience that is in line with the Firm’s core values;
    • Arrange video interviews and written tasks for candidates, ensuring they have all the information and adjustments needed;
    • Assist with the planning and organisation of the assessment centres, placement schemes and internship opportunities;
    • Assist with the drafting of offer letters;
    • Provide administrative support through the qualification process, such as interview booking.

    Person specification

    • Previous experience in a recruitment or early talent role is desirable, ideally in a legal environment;
    • Highly organised with the ability to balance competing priorities and multitask in a fast-paced environment;
    • Excellent attention to detail is key;
    • A professional manner with excellent verbal and written communication skills;
    • Strong relationship building skills across the firm and the HR team;
    • A good working knowledge of Outlook, Word, Excel and social media platforms.
