Job overview

We're looking for a motivated Finance Assistant to our London office that can help handle Papirfly Group’s day-to-day financial matters. You must be prepared to multi-task as you'll be expected to work on multiple administrative projects at the same time. This role is a hybrid, and you're expected to be in the office at least 2 days a week.

Main responsibilities include

  • Processing bank transactions on a daily basis and month-end reconciliations to statements
  • Monthly payroll including scheduling payments to employees and HMRC, e-mailing payslips
  • Processing supplier bills
  • Monthly supplier payment run
  • Ad hoc supplier payments during the month
  • Workplace pension administration (uploading monthly payment file, adding new joiners, employee communications re postponement and eligibility, update salaries after increases, etc)
  • Monthly deferred licence calculation
  • Monthly commission calculation
  • Regular review of debtors, liaise with CSMs, credit control
  • Sending monthly customer statements
  • Monthly management charge invoices
  • Assist Customer Success Team with sales invoicing queries, customer-supplier portals, etc.
  • Register Fixed Asset Additions
  • Review and process employee expense claims including reimbursement once approved
  • End of Tax Year PAYE reconciliation, reports and checks prior to the new tax year, e-mailing P60s to employees, etc
  • VAT - review

Annual audit/budget

  • Provide administrative support during budget preparation
  • Participate in annual audits

Adhoc

  • HR Admin - Capturing new employees
  • Ensure employee records/document are maintained
  • Deal with supplier and customer queries
  • Insurance and other adhoc renewals

Knowledge and experience required

  • 1 year plus experience in a Finance/Accounts Assistant role
  • AAT qualified or qualified by experience
  • Experience of working with Xledger is preferable but not essential.
  • Good working knowledge of Microsoft Office software, particularly Excel & Google Sheets
  • Good understanding of double entry to trial balance
  • Knowledge of sales and purchase ledgers, bank reconciliation, invoicing
  • Good organisational skills and able to effectively prioritise workload
  • Ability to work independently
  • Excellent verbal and written communication skills
  • Desire to add value to the business through collaboration with the team
  • Positive attitude with a desire to learn & build on knowledge and skills
  • Confident, friendly and calm personality
