As HR Administrator, you will be responsible for providing day to day administrative support to the HR Europe & West Africa team.
What you will be doing
You will be asked to execute HR administrative tasks with diligence, accuracy, and discretion in order to ensure effective, efficient operations support. They will need to be able to work autonomously on briefed tasks and as part of a team as required.
- Collect, compile, and prepare documentation, draft reports under instruction and supervision.
- Keep existing spreadsheets up to date.
- Maintaining HR databases on a regular basis to ensure employee records are accurate and up to date.
- Ensuring employees’ and subcontractors’ CVs are in company format and kept updated.
- Maintaining employee and subcontractors’ files and lists: ensuring agreements, certificates, insurances, etc. are up to date.
- Assisting with HR induction of new staff and onboarding and offboarding process.
- Being first point of contact for new starters, requesting and receiving documents; checking right to work in the UK.
- Ensuring employees’ Job Descriptions are in place.
- Assisting with maintaining absence records.
- Assisting with Organogram updates.
- Assisting with monthly payroll process for all entities.
- Based at Head Office London with ability to work from home occasionally, if required. A minimum of 3 days working from office in the Headquarters office required.
- Admin Support on Legal Entity Rationalisation Project.
- Any other ad-hoc tasks that are required.
- Flexibility to working hours.
What we are looking for
An ideal candidate should demonstrate strong interpersonal, change management skills and a keen interest in HR looking to pursue a career. In addition, you
- Educated to GCSE or A-Level standard
- Holder of 5 GCSE grade A-C including English and Mathematics
- At least 1 year of solid administrative work experience in private sector organisation in the UK
- Excellent English communication skills, both verbal and written
- Excellent internal and external customer service skills
- Excellent telephone manner and interpersonal skills
- Able to use different HR software’s to update and maintain database accuracy
- Highly organised, enthusiastic with a “can do” attitude and a quick learner
- Capable of following instructions and procedures
- Team orientated with the ability to multi-task and work well under pressure
Desirable
- College or university degree
- CIPD Level 3 Certification
- Previous experience as HR Administrator/HR Assistant
- Knowledge of Marine/Offshore Sector
- Knowledge of GDPR regulations
- Intermediate/ Advanced MS Word and Excel user
- Knowledge of GDPR regulations
- Ability to interact effectively at all levels within the organization both autonomously as well as part of a team
