    The Role

    The Bids Content & Systems Executive role will sit within the central BD function as part of the central Bids team.

    The role holder will primarily have responsibility for managing, collating and updating the firm's brochure and bids content (both standard pre-written content and best practice examples) across various platforms within the firm. This role will take responsibility for supporting on projects to improve bids team processes and systems to facilitate self-service tools for lawyers.

    The role holder will also provide support to the bids team (for example, discreet sections of larger bids or PQQs and mini-tenders).

    The role reports to the BD Operations Manager, and has close working relationships across many areas of the business, including Bid Content Manager, Document Production, IT, Risk and wider Business Development and Marketing colleagues.

    Duties

    The following list is not exhaustive but gives a flavour of the duties:

    • Schedule regular reviews of firm facts and figures and brochure update.
    • Co-ordinate regular reviews of the bid content across various platforms (BD Hub, Bids Library and Foundation) to make sure that bide content is consistent and up to date.
    • Support Bid Content Manager in drafting the first draft bid content, as required.
    • Develop strong relationships with various subject matter experts (e.g. contributors from HR, Risk, IT, Information Security, BD and marketing colleagues etc.) across the firm to manage and motivate these contributors to regularly update content at agreed intervals.
    • Work with the Bids team to collate best practice content from recently submitted bids and update these content areas in the existing Bids library, including lessons learned from bid debriefs and feedback sessions on specific areas of content.
    • Ownership and maintenance of AG at a glance section on BD Hub on the intranet – ensuring content is kept up-to-date and is categorised correctly to make it searchable.
    • Build knowledge about the firm and its client base (i.e. services they buy, service gaps, profile of client base, retention rates, satisfaction with our services etc.).
    • Work with the wider Bids team to compile knowledge, research and analyse clients and targets to aid bid/no bid decisions and monitor competitor activities.
    • Work as part of the wider Bid team on strategic full panel tenders or high value transactional bids; assisting Bids Managers and/or BD Managers by assuming responsibility for specific sections and key areas of the tender process
    • Work with the BD Operations Manager and BD Operations Coordinator to maintain the bid automation platform (Foundation); be a go-to person to respond to queries; provide ad-hoc demonstration of the platform to the business as required.
    • Liaise with Document production, Brand and other relevant teams to develop and maintain proposal automation template within Foundation.
    • Take responsibility for completing PQQs and supporting the wider bids team to oversee the bids process from beginning to end, including:
      • Downloading, summarising and circulating documents to appropriate stakeholders
      • Managing inputs from other Subject Matter Experts.
      • Drafting content and ensuring content reflects client requirements, including liaising with design function
      • Follow up, including documenting any feedback received, working with partners to establish debrief questions and initiating/attending meetings with client to receive feedback on tender process.

    Knowledge Skills and Experience Required Bespoke to Role

    • Highly computer literate with excellent systems skills, ideally including experience of Office software
    • Excellent attention to detail
    • Experience of bids process including tenders and PQQs (preferred but not essential)
    • Strong writing and editorial skills with experience of writing proposal content
    • Experience of implementing projects and promoting best practice
    • Self – starter with ability to use initiative
    • Strong team worker
    • Ability to gain trust and build relationships quickly
    • A real "can do" attitude and an ability to find solutions
    • Able to interact professionally and credibly with senior internal stakeholders
    • An ability to manage conflicting requests or concurrent multiple projects
    • Marketing or Law degree (or equivalent) is desirable but not essential
    • Experience of working in a professional services or similar fast-paced organisation is desirable
