    The role of the HR Assistant is to support the Head of HR, the HR Business Partners and the HR Advisors in providing an effective HR service to Amundi UK in London.

    This role is an Intern position – A 1 year Fixed Term Contract.

    Principle Accountabilities

    Support on the recruitment process for new hires. This includes;

    • Support HR Business Partners on the recruitment and hiring process by coordinating the interview process, providing feedback to manager(s) and candidate(s) throughout
    • Prepare contracts of employment at offer stage
    • Ensure accurate record-keeping at all stages of the process
    • Manage the London HR recruitment inbox
    • Advertise vacancies and maintain log of all vacancies distributed

    Manage the on-boarding and off-boarding process for new joiners and leavers. This includes

    •  Issue contracts of employment and an induction pack to new joiners, acknowledge receipt of signed acceptance and confirm start date to joiner and manager(s)
    • Work with the relevant departments i.e. Facilities, IT and Compliance to inform them of the joiner’s arrival and help arrange their arrival where required
    • Organise and coordinate induction process to include travel arrangements, relocation, temporary accommodation and set up meetings as required
    • To upload the new joiners onto all relevant HR systems such as holiday booking, benefits portal etc. and remove leavers.
    • Provide references or prepare applications on the new joiners behalf as required
    • Ensure pre-employment security checking and criminal records checks are completed before the joiner arrives and, where appropriate, take up FCA references.  Inform Senior HR Advisor of new joiner details for payroll and benefits purposes
    • Ensure new joiners have the necessary qualifications to undertake their role and register if required
    • Monthly updating of the Global Database including joiners, movers, leavers and salary changes in preparation for the monthly Headcount report
    • Arrange new joiner lunches, Inductions and welcome coffees

    Provide support on HR admin and processes

    • Act as the first point of contact for UK employees on general, non-complex queries
    • Work closely with the HR team on general administration - Ensuring accurate record-keeping of employee personal data (electronically and physically)
    • Assist with the annual review of Job Descriptions
    • Assist with coordinating training where necessary
    • Assist with coordinating necessary events and webinars
    • Respond  and prepare reference requests,
    • Enrol employees on courses, exams, seminars, workshops, conferences as necessary
    • Monitor and maintain an accurate record of all internal and external training, study leave and training spend against budgets
    • Manage HR London mailbox

    To provide effective administration of employee benefits schemes and compensation review processes.
