    The Bauer Media Consumer events team are responsible for producing leading industry events and exhibitions relating to magazine brands we own, these are largely in the motorcycling, angling and equine markets.

    The focus of your role

    An exciting Event Administrator role has arisen within the Consumer Events department working across six high-profile consumer events spanning the automotive, angling and equine markets.

    We are looking for an enthusiastic and energetic Event Administrator to provide critical administrative support in our busy events team based in Peterborough. The ideal candidate will have previous administration and ideally events experience, along with the ability to communicate confidently and accurately, both verbally and in writing.

    Supporting the team, you will be responsible for the day-to-day administration of the events along with managing the communication with exhibitors and sponsors both pre-event and on site. Customer service experience is a benefit, and you must have a very keen eye for detail.

    You will have excellent organisational skills, the ability to prioritise and work on multiple projects simultaneously and the ability to manage your time effectively. Meticulous attention to detail is absolutely critical in this role, as is the ability to interact with our exhibitors both verbally and in writing on a professional level. You will be the most organised person you know and live your life by lists, deadlines and planning – willing to go the extra mile to support your colleagues in achieving team objectives.

    Role Responsibility

    • Competently manage communication methods with exhibitors and sponsors pre event
    • Confidently and accurately process bookings for each event, recording details on spreadsheets and collating information sheets
    • Processing service orders for the exhibitors, raising invoices and booking relevant contractors
    • Chase essential documentation from exhibitors
    • Updating the show manuals with accurate details relating to each event and circulating to exhibitors
    • Liaise in a professional manner with exhibitors regarding their attendance at the event, dealing with any questions and queries they have
    • Accurately update floorplans for each show
    • Working with databases and completing mail merges
    • When required take minutes at weekly event team meetings
    • Assist Event Manager with delivering communications to key stakeholders when required
    • Assist with event build up i.e. preparing any collateral required on site
    • Attend the event for the duration of the build, open and breakdown period, primarily working in the organiser office dealing with exhibitor in-person queries.

    The Ideal Candidate

    • Excellent communication skills internally within the team and externally to exhibitors, sponsors, contractors, venues
    • Initiative to complete within a time frame, a task and overcome obstacles
    • Strong and accurate attention to detail in all work, particularly pre-event administration, spreadsheets, invoicing and mailings.
    • Ability to plan your own workload and work unsupervised
    • Self-motivated and enthusiastic about tasks and assisting the team, particularly through busy periods and on site
    • You will be highly organised and capable of juggling multiple projects at any one time
    • Proven administration experience with excellent PC skills and outstanding attention to detail
    • Excellent written and verbal communication skills
    • Experience from a customer service based role would be a benefit
    • Great team player qualities demonstrating a can-do flexible attitude
    • Professional manner and attitude at all times, especially in conduct behaviour at an event
    • Commitment to the aims and objectives of the Bauer Media Consumer Events Team
    • Experience in events and exhibitions is not essential, but preference will be given to candidates who can demonstrate this.
    • Proven use and knowledge of Word, ExCeL and Outlook is essential.
