Job purpose
As our Operations Coordinator you will support the Head of Learning and Operations Manager with the administration and operational running of School of People and Skills Development & Financial Services programmes.
This will include carrying out relevant administrative tasks to support the end-to-end delivery of programmes including resourcing and scheduling. The role will also work with the Programme Leaders to produce core programme documentation and that relates to the quality of teaching and assessment resources.
You will coordinate the maintenance of online classroom live sessions, ensuring the efficient upload of post-session recordings to the virtual learning environment. You will also play a key role in maintaining the virtual learning environment, which involves uploading learning materials, organizing student groupings, and updating course content.
Additionally, you'll create vital program documents, such as learning plans, job role analysis documents, and fact sheets. Your role includes collaborating with the course setup team to establish course instances in advance of system bookings and managing student records. Furthermore, you will be responsible for absentee reporting, program progress reporting, and the meticulous tracking and management of learner enrolments with professional bodies.
You'll also be responsible for the timely updating and distribution of student pipeline and revenue reports, ensuring that stakeholders are well-informed. Additionally, you will oversee the maintenance of syllabus versions and contribute to their development.
Managing tutor allocation to meet class and teaching schedules will be an essential part of your daily responsibilities. Beyond these core tasks, your role will encompass various administrative and operational duties as needed to support our business operations effectively.
Candidate criteria
- Excellent organisational and time management skills, including diary management
- Ability to effectively manage client and internal stakeholder relationships, promptly responding to queries, ensuring expectations are managed.
- Ability to create and maintain accurate/accessible and organised documentation
- Ability to communicate performance by producing all necessary reports in an effective and timely manner
- Excellent attention to detail when producing programme documentation and data driven reports
- Ability to use email, internet applications, MS Windows operating system, including Excel and tracking tools to support this role
- Ability to apply numerical skills to analyse data, interpretation of facts and figures presented in the form of statistical tables and diagrams, thinking critically and checking for errors or variance from targets.
- Must be comfortable working within defined Key Performance Indicators and Service Levels
- Proactive, highly motivated, and adaptable to change, as the company and industry in which they are based is very fast paced and competitive.

- Experience producing and checking business documentation
