    The role

    We are looking to recruit an experienced and proactive Executive Assistant to provide executive and administrative support to the Chief Executive. This role is pivotal in supporting the chief executive and senior management team to achieve the organisations strategic goals. You will also provide secretarial and administrative support to the Board and its sub-committees and provide project support for events, publications and planning for the future.

    Key purpose:

    • Provide executive and administrative support to the Chief Executive
    • Provide secretarial and administrative support to the Board and its sub-committees
    • Provide project support on occasions for instance for staff or other events and publications.

    Accountabilities

    Support to the centre’s ceo:

    1. Help manage the CEO’s diary, setting up and co-ordinating meetings replying quickly to requests. This should include forward planning to help make effective use of time.
    2. Support the CEO’s communications. Help manage timely communication with the Centre’s stakeholders and significant donors. Support the CEO’s work with the fundraising team – for instance helping co-ordinate donor visits or communication with individual supporters.
    3. General administrative support including expense management, annual leave requests and other correspondence. Preparing papers and materials for meetings as necessary. Other general tasks as needed.
    4. Support the CEO’s and other internal communications across the Centre in collaboration with the senior team. On occasion drafting notes and internal communications for and with staff and volunteers.

    Secretarial and adminstrative support for the centre’s board:

    1. Provide administrative and secretarial support to the Centre’s Board and its sub-committees. This includes helping diarise meetings, collating and formatting papers, taking minutes and agreeing key communication with the relevant Chairs and senior staff.
    2. Act as the Centre’s first port of call for Trustees and Company Members. Ensuring communications are clear, questions answered quickly and administration is effective.

    Project and event management and support:

    1. Support the CEO and other members of the senior team through the arrangement of events and occasional publication management - for instance staff events, the Centre’s Annual Report.
    2. Support the CEO and the Director of Communications on internal communication initiatives to Centre staff and volunteers.
    3. Other administrative or other support to the Centre, as required and agreed with the CEO.

    Person specification

    It is essential that the candidate should be able to demonstrate experience in:

    • Providing administrative support to senior staff or teams. This should include providing secretarial support to senior meetings, teams or Boards.
    • Managing competing demands with evidence of a strong ability to work in a planned fashion
    • Supporting contact and communications with stakeholders, with great verbal and written communication skills.
    • Helping manage events, publications or similar to deadline.
    • Working with sensitive and confidential information.
    • Working under their own initiative.
    • It is also essential that the candidate is positive about the Centre’s values and its mission to tackle and prevent youth and family homelessness.

    It would be desirable if the candidate has experience in any or all of the following:

    • Working in a charity or with organisations working with vulnerable adults or children
    • Working alongside a fundraising or communications team
