As a team we have faced significant challenges over recent years, however we are now refocusing our efforts to ensure our supplier management function is fit for purpose and allows us to think more strategically about our future as one of the leading Awarding Organisations (AO).

This is a great opportunity for someone to step into the organisation and make a direct contribution to the way we operate. You’ll help us improve our ways of working and to find new methods of resolving issues, so if you strive for continuous improvement, then this role could be what you are looking for.

    • We are happy for the right candidates to start almost immediately.
    • Working hours: Monday to Friday between 09.00 and 17.00 (35 hours per week).
    • This is an office based role, working from our newly refurbished Coventry distribution site (CV2 2SS)
    • You will be working for a well-established organisation: City & Guilds

We believe that diversity and inclusion strengthens and enriches us, and that it is the responsibility of everyone at the City & Guilds Group to drive this value. As ethnic minority groups and disabled people are currently under-represented within the Group, we particularly encourage and welcome applications from these communities.

    About the role

As Operational Delivery Co-ordinator you will provide support to the Fulfilment Supplier and Contracts Manager to ensure the effective management of our suppliers through our internal processes. This is achieved through the accurate processing of data, weekly and monthly reports, liaising with key stakeholders and suppliers, working with the wider team to assist in problem solving and potential process improvement, as well as other ad hoc supplier related activities.

    Your responsibilities will include:

    • Correct processing of invoices, ensuring they are archived and reported
    • Collating cost data
    • Producing/updating reporting for a variety of stakeholders
    • Ensuring the reporting and data archive is up to date and correct
    • Working with suppliers and internal colleagues on day-to-day issues
    • Helping to schedule and minute regular supplier meetings
    • Supporting with audits and audit documentation
    • Assisting with any other supplier related activities

This is a full-time contract role, based at our Coventry distribution office (CV2 2SS). Hybrid working can be discussed following successfully completing the initial 6-month probation period.

You may on occasion be required to travel to other locations, including our London office and to support the Fulfilment Supplier and Contracts Manager with internal and external audits (all necessary travel, accommodation and subsistence costs will be covered). Specifics for these arrangements, and the flexible options we offer can be discussed as part of the interview process.

Unfortunately, we cannot consider home based applicants for this role.

    About you

This role will suit someone with great attention to detail and a foundation in using Microsoft Excel for basic data handling, as well as good literacy in other MS Office applications. Any previous experience from invoicing (ideally via SAP) would be an advantage. Experience dealing with data and producing reporting would be a bonus, as well as previous experience working in an administrative or operational delivery type role. You will need to be willing to learn and deal with different issues and situations as they arise, as this role will be quite variable - we have a wide variety of suppliers in different areas, all of whom have different challenges and contexts. As such, the ideal candidate would be self-motivated and willing to take initiative, as well as able to juggle different tasks on an ongoing basis.
