The role
Based in our busy HR at our Dunmurry Head Office, the successful candidate with be responsible for supporting staff and sites across all regions in UK and Ireland. We are looking for an enthusiastic, organised and hard working individual to work alongside our well established HR Administration Team.
Duties include, but are not limited to:
- Perform administrative work, including scheduling, maintaining files and sorting mail for the HR&D Department.
- Maintain employee records (soft and hard copies) in compliance with data protection regulations
- Enter employment data on HRIS (e.g. new hires, holidays and sick leave), ensuring it is up to date and carry out regular data cleanse to ensure the current data in the system is accurate.
- Assist HR Team with the hiring process, including submitting job postings online, FEC monitoring, shortlisting and organising interviews.
- Respond to HR queries in a timely fashion and be first line of contact for HRIS queries and issues.
- Prepare comprehensive and timely monthly reports from the HRIS and respond to adhoc reporting requests.
- Update the Weekly HR Operations Actions Report. This report covers Recruitment, Employee Relations, Absence etc.
- Assist with the administration of fixed term contracts, probation reviews, Healthshield and ad hoc reference requests.
- Assist with onboarding of new starts and offboarding leavers.
- Liaise with the learning and development team to provide up to date information on new starters for induction purposes.
- Support HR Team with ad hoc administration and produce HR documentation as required.
- Support with further development of the HR system and participate in HR Projects.
- Undertake any other duties, which may from time to time be required, to support the HR team.
Essential criteria
- Good general education including minimum GCSE grade C or equivalent in English and Maths.
- CIPD qualification would be desirable but is not essential.
- Drivers Licence and access to a vehicle would be required. However alternative means of travel would be considered.
- Strong IT skills, proficient use of MS Office and its programs. Including Word and Excel. (1-year experience minimum).
- Strong teamwork skills
- Positive, passionate and with good interpersonal skills.
- Excellent attention to detail and meticulous planning skills.
- Organisational and time-management skills with an ability to meet deadlines.
- Possess a problem-solving approach with an enquiring mind.
- Good understanding of GDPR legislation
- Must be interested in developing a career in Human Resources.
