    The Role

    The role plays a key part in Immediate Events team. This role aims to provide organisational, event, and administrational support for Immediate Event team. The Events Team work closely with the Internal Comm’s, HR & D&I teams, as well as many other brands across Immediate.

    Key Responsibilities

    • The jobholder will be responsible for providing admin support to the team.
    • They’ll be accountable for team systems,
    • They’ll work on Immediate’s internal Social Committee events, as well as providing support for the more significant corporate events, such as the Radio Times Covers Party.
    • They’ll be responsible for managing guest lists and working on Splash; a platform to create event microsites.
    • They’ll also oversee uploading jobs onto Basecamp project management tool for the team designer, making sure schedules are met, along with goody bag sourcing, liaising with suppliers and maintaining products in the team’s central cupboard.

    Events

    • Supporting Director of Events and Event Manager. You’ll be responsible for co-ordinating guests lists, completing risk assessment method statements for some events, sourcing goody bag gifts via social media, working closely with suppliers, booking talent, owning the guest list and sending invites.
    • Management of all paperwork for each event: raising PO’s, working with the accounts team to pay suppliers, risk assessment, written evaluations after each event.
    • Researching ideas and creative content for events as directed by the Manager. Cost analysis and budget management. Ensuring each event is different.
    • Overseeing the management of the events cupboard, including stock count and working with external suppliers.
    • Building close relationships with transport companies and working closely with them, especially for our IM Festival
    • Attend site visits when necessary
    • Happy to work extended hours at short notice when appropriate and work late if the event requires
    • Help manage and organise events for the Social Committee, virtually and in - person
    • Input jobs on Basecamp for team designer and manage workflow
    • Create microsites on Splash for events

    Team

    • Contribute ideas and content for the IM Community SharePoint site and weekly company newsletter
    • Support in the production of key events in the Immediate calendar – including regular All-Hands meetings, Ask Me Anything sessions and annual Awards
    • Respond to external enquiries in a timely and professional way
    • Work closely with team designer and support when necessary
    • Maintain calendar of national days and events
    • General office admin, including organising team meetings, raising PO’s

    About You

    • Experience of working within events OR an events qualification is essential 
    • Excellent organisational skills
    • Excellent verbal communication skills
    • Able to network among a wide variety of stakeholders
    • Determined & Understanding
    • Proven ability to use initiative
    • Good IT skills
    • Good social media skills
    • Experience with PowerPoint, Photoshop, Excel and Google Docs
