We are looking to recruit an End of Tenancy Co-ordinator to join our Investment Lettings and Management Team based at 55 Baker Street. The successful candidate will be responsible for providing an effective and efficient support service to the Hamstead Lettings team, ensuring the smooth running of a busy department.
The main duties include
- Maintaining a system to ensure all department invoices and payments are up to date and regularly chased as necessary
- Maintaining filing systems – for property information, invoices etc
- Maintaining an up to date record of deposit returns as part of the end of tenancy procedure
- Arranging inventory appointments; including chasing and sending reports
- Assisting with booking property visits and sending maintenance summaries to the Property Managers
- Service charge payment chasing
- Attending property appointments to assist with access arrangements
- Arranging any regular service agreement works
- Paying Council Tax and utility bill as well as updating Tenants details on Tenant shop
- Assisting the Property Managers with general administrative duties
- Where needed serve the relevant notice to the Tenants to end the Tenancy
- Answering telephone, making appointments, speaking to clients and contractors
- General support to the team and office
Systems & IT competence
- Microsoft packages (Word, Powerpoint, Excel etc)
- Qube (Aspasia)
- Mail Merge proficient
- Outlook and diary managment
- Tenant Shop
Qualifications/Education Required
- 6 months to 1 year+ experience in an Administrative role/Recent Graduate
Particular Aptitudes
- You will be very well presented, have a clear, confident speaking voice, cheerful personality and a good sense of humour.
- This role requires an individual with the ability to communicate and deal with others at all levels in a polite, professional, friendly and helpful manner, both face to face and on the telephone.
- The successful candidate will be flexible, self-motivated, organised and pro-active with good computing skills, excellent administration skills and the ability to adapt to a wide range of tasks. They will also have a “hands on” attitude and possess the necessary skills, manner and experience to provide an effective support service to the department/office.
- A proven background in Reception and Administration and an interest in property is also important.
