We are looking for a Legal Admin Assistant to join our Corporate team in Southampton!
We welcome applications from recent LLB/LPC graduates looking with previous admin experience looking to kickstart their Legal career at a Top 100 Law Firm.
You will be providing efficient and effective administration to service the departments.
Key Responsibilities
- Accurate photocopying and scanning.
- Dealing with incoming and outgoing post.
- Efficient and effective systems maintenance, including all aspects of file opening; assisting with AMLR processes, running conflict searches, updating systems.
- Updating and maintaining CRM Hubspot system with client and contact details.
- Dealing with enquiries on the telephone as needed, taking accurate messages and ensuring that these are followed up if necessary.
- Supporting team with the arrangements for meetings and/or networking events and preparing all necessary booking forms (experience of using and setting up meetings using Microsoft Teams and Zoom is desirable).
- Booking lawyers on to training courses, ensuring memberships are up to date, managing the invoices thereon and liaising with accounts to ensure payments are made in good time.
- Updating fee earner diaries as instructed by team secretary and fee earners.
- File closures to include assisting with archiving and storage of closed files to ensure easy retrieval; and preparing accounts write-offs and file closure forms and chasing/following up if required.
- Responsible for fee earner filing and ensuring all files are kept up to date.
- Scheduling of deeds.
- Preparing engrossments, printing and generally assisting with completion and post-completion work and trial bundles.
- Creating bibles.
- Assisting with searches relating to Companies House.
- Basic accounting tasks.
- Supporting the billing process.
- Ensuring the efficient operation of the fax and photocopying machines.
- Assist and support more senior members of the team with work or tasks as required.
- To ensure the confidentiality of all Moore Barlow’s information and clients’ documentation.
- To adhere to the HR policies and procedures.
Experience
- Good working knowledge of Microsoft Office suite (Word, Excel, Outlook and Teams)
- Ability to work methodically, accurately and efficiently
- Common sense with a practical approach to problem solving
- Good interpersonal skills
- Ability to prioritise and work to deadlines
- General understanding of facilities and health & safety issues desirable
- Experience of working within a Professional Services Environment desirable
- At least 1 year of administration experience (desirable)
