    This role is designed to complete analysis across a number of commercial areas to increase visibility and decision making within the business to improve performance and profitability.

    To monitor, review and improve our PSA (commercial sales contract’s), with the aim of improving and maximising the profitability of these contracts for the business.

    Our company manufactures and distributes animal feed to farmers. The feed is sold by season: Summer (May – Oct) Winter (Nov – Apr), and by two main types; Compound and Blend feed. The contract will run at a set selling price for the season unless the product is changed or modified.

    Contracts are put on for retail customers as well as groups, wholesale and merchant customers. The management of these contract requires different process’s depending on the customer type.

    Continuous improvements should be implemented across all aspects of the contract process from price setting, initial authorisation and setup, transacting and monitoring the contract. Going forward we want this role to drive proactive contract management. The role should work in conjunction with the senior leadership team to design new reporting and analysis which drives forward the profitability of sales contracts through highlighting underperforming contracts from both a margin and offtake perspective.

    It also includes other ad hoc commercial analysis which is aligned to the company’s current strategic initiatives, which can be one off, or new sets of reporting that need developing.

    Key responsibilities/duties

    Reporting

    • Prepare and issue weekly PSA reports
    • Prepare and issue PSA raw material allocation and MMx %
    • Prepare and issue PSA offtake reporting
    • Prepare and issue weekly Sales and Margin Reporting
    • Prepare and issue all month end Sales and Margin Reporting
    • Prepare and issue all month end PSA information
    • Automate reporting wherever possible
    • Design new suites of reporting to aid strategic decision making and track results against these decisions.

    PSA new contract monitoring

    • Monitor new contracts put on ensuring they are at an appropriate margin, challenging anything below expected margin levels
    • Perform control checks on raw material prices used and margin approved on new PSA’s entered
    • Challenge back to Customer Service Desk (CSD) any Compound contracts that look to be incorrectly entered when doing weekly reporting
    • Challenge back to Blends admin any Blend contracts that look to be incorrectly entered when doing weekly reporting

    PSA offtake monitoring

    • Throughout the month review usage of PSA against contract quantity
    • Work with Financial reporting accountant to resolve any price queries identified when weekly sales reports are run
    • Ensure customers take full contract (ie don’t under or over order) where this improves profitability
    • Work with sales reps, CSD, blends team and group owners to manage anyone taking too much / too little against their contract.
    • Review and monitor CSD / Blends team / customers taking same / similar products using PSA price but not allocating them to contract. Ensure everything priced at contract levels is transacted against a PSA.
    • Close out unused PSA’s with the business and adjust PSA’s being under used.

    PSA raw material allocation

    • Work with procurement team to find better ways to allocate, monitor and report the raw materials forward bought for PSA’s, separating them from raw materials bought for in month ‘spot’ (non-contractual) business
    • Work with procurement and formulations team to help them improve the process around the recording of group/wholesale/merchant PSA’s in the system as their accuracy in terms of raw materials needs improvement

    Proactive contract management

    • Work with CSD & Blends team to introduce new process to proactively call and manage customers and book in orders in advance, instead of just taking orders when customer rings.
    • Work with CSD / Blends / Technical / Operations / Transport to make PSA process work as efficiently as possible for the business
    • Work with CSD / Blends to develop clear process to finalise / close out PSA’s once the month has finished / products have been taken.

    Relationship/business management
