Working within the Finance department, the Finance and Billing Assistant reports to the Financial Operations Manager and is responsible for the timely processing of invoices, expenses and corporate credit card payments and responding to supplier queries. This role works together with the Group Credit Controller and AP Specialist and will also support on month end processes on an adhoc basis.
This vacancy is a fixed term contract for 6 months.
Principle accountabilities
- Processing accounts payable invoices queries and ensuring purchase orders are raised correctly and on a timely basis
- Review supplier statements and resolve queries appropriately
- Monitor accounts payable email inbox for supplier queries
- Assist with billing of stage revenue and periodic rent to tenants
- Process invoices for facilities, telephones, mailroom services and all consumables and stationery for the department, including posting of relevant nominal journals
- Ensure accurate and timely billing of energy invoices following automatic meter readings (AMR)
- Manage the corporate credit card and expense process accurately and efficiently
- Ad-hoc assisting with Month-end and other Finance Operations processes
- Support the Financial Operations Manager with any other tasks as required
Nature and scope
The role is an individual contributor but works with close support from their manager and peers. Most tasks are repetitive in nature and work within set procedures and clear instructions. The Finance and Billing Assistant would typically work with daily or weekly planning horizons, and their manager will provide direction and support with the prioritisation of task.
The role will interface with a broad range of internal and external stakeholders.
Skills and experience
Essential criteria
- Proven experience in an administrative or support role
- Knowledge of any Finance system (preferably Microsoft D365 for Finance & Operations)
- Working knowledge of Microsoft Office suite including Excel, Outlook and Word
- Basic knowledge of VAT
- Strong attention to detail with excellent data entry skills and talent for numerical coding
- Excellent ability to work to tight deadlines and juggle multiple priorities.
- Strong team player and orientation towards teamwork
Desirable criteria
Previous experience in a Finance environment would be advantageous but not essential
