What you’ll be doing
- Responsible for managing office supplies, including stocktaking of essential items such as stationery, food, and drinks. Ensuring all team members have the necessary materials to perform their tasks effectively
- Preparing meeting rooms for various types of meetings, including company meetings, investor discussions, and commercial meetings.
- Taking accurate minutes during meetings and distributing these notes to the entire team is another critical function. This helps ensure that all team members are informed of meeting outcomes and any follow-up actions required.
- Creation, documentation, and regular review of internal policies.
- Support the People and Talent Lead with pre-onboarding duties. This includes liaising with IT suppliers to procure and set up necessary equipment for new hires, ensuring they are well-equipped from their first day.
- Meet new team members on their first day to introduce them to their equipment and systems, providing a warm welcome and easing their transition into the company.
- Use data gathered form onboarding and employee engagement surveys to improve processes that increases employee satisfaction.
- Handles communications with third parties like Scale Space, AirIT, and legal teams, addressing and escalating issues as needed to maintain service quality and business operations.
- Sending NDA’s and contracts on behalf of the organisation and filing them in the relevant Sharepoint folders.
- What you’ll need to be successful...
- Previous experience in an office coordinator role would be preferred but we are open to consider people with transferable skills or a graduate.
- Strong organisational skills and attention to detail
- Proficient in MS Office suite
- Highly motivated and able to work independently
- Strong oral and written communication skills
- Ability and desire to work comfortably in a fast-paced setting and deliver results in line with project and team objectives
- Excellent interpersonal skills with an ability to work effectively in a team setting
