The Research Office is seeking a highly organized and motivated Graduate Intern to join our team as an Administrative Associate to support the daily operations of Solent Productions, the university's award-winning media center. This role offers an excellent opportunity for a recent graduate to gain valuable experience in a fast-paced, creative environment.

The role

As a Graduate Intern - Administrative Associate, you will play a crucial role in supporting our day-to-day operations, ensuring smooth administrative processes, and contributing to the overall efficiency of our team. This position requires strong attention to detail, excellent communication skills, and the ability to adapt to changing priorities. Whilst on a day-to-day basis the post holder may have certain duties allocated to him/her, he/she will be required in certain circumstances to undertake other duties to ensure a full administrative service is maintained to support the operation of the RO as required.

Key Responsibilities

  • Oversee daily administrative operations
  • Maintain accurate records and ensure proper filing of project documents
  • Assist in financial processes, including invoicing and raising purchase orders
  • Handle written and telephone inquiries professionally and confidentially
  • Support the team with data entry, report writing, and presentation preparation
  • Collaborate with various departments to maintain efficient administrative services
  • Contribute to the planning and prioritization of workload to meet deadlines
  • Undertake additional administrative tasks as required by the Line Manager
  • Support project management activities, including tracking project timelines, coordinating meetings, and ensuring project deliverables are met

Qualifications and Skills

  • Recent graduate from Solent University with a bachelor's degree
  • Strong organizational skills with the ability to work methodically and follow procedures accurately
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office applications, particularly Word and Excel
  • Experience with basic accounting software and understanding of financial processes
  • Familiarity with database management and data entry
  • Customer service experience in an office environment
  • Ability to work effectively in a team and under pressure
  • Understanding of higher education issues and processes
  • Report writing and presentation skills
  • Knowledge of project management principles and practices
