Efficio is a fast-growing, founder-led, global management consultancy which is currently fully owned by its senior team. We are an established procurement and supply-chain consultancy with 23 years of operations across Europe, North America and the Middle East and over 800 people globally, with plans to double in size over the next three years. Our culture is informal, collaborative, high performing, challenging and non-hierarchical. Most senior Vice Presidents have minimal administrative support provided, as they are mostly focused on delivering innovative services to our global clients. However, our Board members require a professional, resourceful and bright EA to support them in managing the range of responsibilities they hold, particularly as they balance their roles as Board Directors with continued operational delivery. They key requirements will be diary management and travel arrangements as well as supporting in the provision of information packs for management meetings.

The Board is comprised of a Non-Executive Chairman, the CEO (one of our founders), the VP for People (also a founder), the lead VP for Europe, the lead VP for North America, a part-time CFO, the Finance Director and the General Counsel (who acts as the Company Secretary).

This role would suit a graduate with excellent organisational skills, low-ego, and a highly collaborative and resourceful approach and ideally some experience of working in professional services.

What you'll do

This role is for a resourceful, adaptable and organised EA who is comfortable working with a small team of senior individuals with different working styles and demanding roles. Priorities include:

  • Developing a strong working relationship with the Board VPs, quickly understanding their roles and responsibilities, their personal styles and approaches as well as the company’s culture
  • Managing complex diary management across multiple time zones
  • Planning and managing complex travel arrangements with awareness of VPs’ priorities and preferences
  • Proactively planning and following up from key meetings
  • Acting as an effective and appropriate conduit of information and communication between the VPs and the wider team of colleagues, appropriately representing the VPs’ voices and messaging
  • Working as part of a small team of administrative staff in London and as part of the global operations team, managing key internal Board or VP-related events and assisting other VPs and senior team members during periods of staff absence.

Essential Requirements

  • University educated with a degree, or equivalent educational achievement
  • Prior PA or EA experience, ideally in a professional services environment but certainly with highly educated professional colleagues
  • Excellent written and oral communication skills with fluent written English
  • Excellent organisation skills and attention to detail
  • Self-motivated and well organised; constantly thinking ahead
  • Able to manage multiple activities for different people under time pressure; able to flex to different working styles and personalities
  • Calm, personable and diplomatic
  • Able to balance high levels of discretion with a warm, trusting and collaborative style

Desirable Requirements

  • Fluent in one of our business languages (any modern European language or Arabic)
  • Prior use of Salesforce applications
