Based from our Notting Hill office, our Lettings Renewals team are hiring for a Business Support Coordinator on a 12 month Fixed Term Contract.

The role

In this role, you will be responsible for providing administrative support to the Renewals team, often the first point of contact for clients and applicants, responsible for the general office paperwork, answering telephones, and day to day running and support of the department.

Responsibilities

  • Gather documentation and prepare questionnaires for client and counterparty to give to CDD (Customer Due Diligence) team. Regular chasing and updating the renewal negotiators.
  • Check DocuSign for renewal negotiators and update what needs exchanging and what is outstanding. Chase all outstanding signatures.
  • Generate errors and warnings, showing negotiators which renewals are outstanding.
  • Contact negotiators Intro lets to see whether tenants are extending or not. Updating the relevant admins if terminating and creating extension forms when they renew.
  • Create rent review letters and extension forms.
  • Each month generate a report which shows how many rent reviews each negotiator has.
  • Create a customer feedback spreadsheet each week.
  • Edit and amend negotiator paperwork
  • Booking 121’s
  • Booking appraisals/meetings
  • Managing and approving sick and annual leave
  • Meeting minutes and agendas
  • Team IT/equipment requests
  • New team member set ups
  • Preparing slides/reports

Particular aptitudes/skills required

  • A very organised individual is required for this role. The successful candidate will possess excellent attention to detail, the ability to create and maintain effective relationships, and the ability to meet tight deadlines calmly.
  • You will have an assertive but friendly manner, excellent IT skills, good typing and administration skills and the ability to multi-task.
  • Ability to work on own initiative and as part of a team
  • Previous experience of working within property or a similar secretarial role would be a bonus but is not essential.
