Our HR Assistants are mulit-skilled and customer service focused. In the role of a Year In Industry - HR Assistant you will work to proactively support the HR Team, wider business and external contacts on all things people related, by administering key HR processes in an accurate and timely manner. You will also get the opportunity to learn in a fast paced, proactive HR team, the a perfect role for someone looking to start their career within HR.

Human Resources is a busy place, therefore this role requires great organisation skills, self-direction and task-focus to balance deadlines. A keen attention to detail is critical due to the importance of delivering correct information. The role may also require this person to develop new processes and procedures, therefore you will get to use your intuition and proactive nature to support continuous improvement in the way we work.

Key responsibilities

  • Working as an integral member of the HR team, providing administrative support across the business
  • Management of the HR inbox; the first point of contact for the business to the HR team
  • Fully supporting the administration of the recruitment process, including:
  • Maintaining our internal recruitment system
  • Creating recruitment approval documents
  • Updating recruitment spreadsheets/ trackers
  • Manage Disclosure and Barring Service  (DBS) applications and updates for our customer-facing employees
  • Managing the onboarding process, including Occupational Health assessments and online induction
  • Preparing contracts of employment, and associated documentation
  • Administering absence “trigger” notifications to line managers
  • Raise purchase orders and maintain the purchase order tracker
  • Action long service certificates and payments, along with 1st year anniversary emails, on a monthly basis
  • Work with the HR Coordinator and payroll team to ensure payroll requests and associated documentation is accurate and all assocaites get paid correctly and on time
  • Driving continuous improvement by recognising and implementing improvements to the HR administration processes
  • Become a subject matter expert on company HR policies, to signpost and guide managers as appropriate (under the guidance of the HR Generalists)
  • Administration support around the organisation of STEAM (Science, Technology, Engineering, Arts, Maths) events aimed to raise the profile and interest of STEAM careers for school students and early careers
  • Shadow the HR Generalist team to gain a better understanding of the role of HR within a business with the aim to support low level Employee Relaions (ER) issues (I.E absence. Fit for Work, Performance Management discussions)
  • Coordinate and distribute the HR dashboard and metrics on a monthly basis
  • HR project work as directed by the HR Coordinator and HR Manager to support the delivery of the People Plan (such as job advertisement updates, support of the business’ Diversity, Equity and Inclusion and Wellbeing committees)
  • Other adhoc administration tasks that arise within a busy HR department

Education and experience requirements / person specification

  • Student undertaking an Undergraduate degree looking for commercial experience in their 3rd year of University
  • Proficiency in Microsoft packages is essential, with skills in Excel
  • Excellent inter-personal skills both written and verbal
  • Excellent attention to detail
  • Highly efficient and self motivated
  • Strong ability to multi-task and work efficiently on your own initiative
  • Ability to understanding your work priorities and spotting opportunities for improvement
  • Comfortable communicating with all levels of the business and with external people
  • Demonstrates a basic awareness of own strengths and development areas

Person specification

You must be a student currently studying an undergraduate degree in HR or another relevant subject to apply.
